Payroll Handbook
FinvHub runs a full payroll cycle — calculating statutory deductions automatically and posting the accounting for you. This handbook covers the whole flow, plus loans, leave and partial months.
1. Add employees
Under Employees → Add employee, enter the person's details: name, start date, department, bank or mobile-money account, and their statutory identifiers (tax ID, social-security number). To onboard many people at once, use Import and upload a CSV — a template is provided.
Salary structure
Each employee has a salary structure: a basic salary plus any allowances (each marked taxable or non-taxable). When you change a salary, FinvHub keeps history by effective date, so past pay runs stay accurate.
2. Configure statutory rules (any country)
Under Settings → Tax & Pension, review the income-tax bands and pension/social-security rates. These are fully editable — adjust the rates, thresholds and tiers to match your country's law. FinvHub uses them to compute every pay run.
3. Run payroll
Create the run
Go to Payroll → New run and pick the month. FinvHub pulls all active employees and their salaries and calculates gross pay, income tax, social security (employee and employer), loan deductions and net pay.
Review the draft
Open the run to see every employee's line and the run totals. Nothing is paid yet — a draft run is your estimate. You can back-date to a past month, or use Catch up to date to generate runs from each employee's start month to now.
Submit & approve
Submit the run for approval. A company admin (not the preparer) approves it — this posts the payroll accrual journal to your ledger.
Disburse
Approve and disburse to pay staff by bank transfer or mobile money. The settlement journal posts automatically, keeping your books balanced.
4. Mid-month starters & leavers
If someone starts (or leaves) partway through a month, FinvHub prorates their first (or final) pay by calendar days worked — so a joiner on the 17th of a 30-day month is paid 14/30, with tax and social security scaled to match. No manual maths.
5. Loans, leave & bonuses
- Loans: record a staff loan and FinvHub deducts the monthly repayment in each pay run, splitting principal and interest and reducing the balance automatically.
- Leave: track requests and balances; approved leave feeds payroll where relevant.
- Bonuses & overtime: add one-off items to a run before you submit it.
6. Payslips & compliance
Every employee gets a branded payslip (downloadable, and available in their self-service portal). Statutory reports — income-tax and social-security schedules — are ready to file under Compliance.
